Private Client or Trust and Estates experience preferred. Responsibilities: - Serve as the right-hand to attorneys in the administration of their Private Client practices and the service of their clients - Manage flow of information to organize, prioritize, and address requests from internal and external clients - Proactively assist attorneys with their practices and administrative tasks - Monitor and manage attorneys' calendars and diaries - Draft, format, proofread, and edit legal documents, presentations, and spreadsheets - Assist with time entry and preparation of client bills - Arrange and coordinate logistics for meetings and events - Handle travel arrangements - Coordinate reimbursements and expenses - Track business development activities - Develop positive relationships with firm members and vendors - Transmit correspondence and legal documents to appropriate files - Arrange for service of process and conference calls - Communicate and relay work assignments between partners and other firm personnel Qualifications: - BA/BS degree preferred - 10 years of prior administrative, legal and/or executive assistant experience required - Private Client or Trust and Estates experience preferred - Expertise in Microsoft Word, Outlook, PowerPoint, and Excel - Understanding of PDF functions Essential Skills: - Willingness to develop a deep understanding of Private Client practice and clients - Excellent client service skills - Strong attention to detail and organizational skills - Professionalism, organization, flexibility, and reliability - Exceptional written and verbal communication skills - Ability to maintain strict confidentiality - Creative problem-solving skills - Effective communication with all levels of personnel - Ability to adjust work schedule for occasional overtime Physical Demands: - Sitting/standing at desk for most of the job - Frequent movement around the office - Moderate amount of standing, stooping, kneeling, bending, and reaching - Visual requirements include reading on a computer screen and printed materials - High degree of dexterity required - Verbal and auditory requirements include clear communication over the phone and in person - Low level of grasping, lifting, pushing, and/or pulling objects - Specific vision abilities required **MEMBERS ONLY**SIGN UP NOW***, a prestigious law firm located in Boston, is seeking a highly experienced Legal Administrative/Executive Assistant to join their Private Client Department. Experience in Private Client or Trusts & Estates is preferred. Expertise in Microsoft Word, Outlook, PowerPoint, and Excel is essential, as well as a comprehensive understanding of PDF functions. Essential skills for this role include a willingness to develop a deep understanding of the Private Client practice and clients, top-notch client service skills, excellent attention to detail and organizational skills, and a high level of professionalism, organization, flexibility, thoughtfulness, initiative, and reliability. The candidate must also possess exceptional written and verbal communication skills, maintain strict confidentiality, and have creative problem-solving abilities. The ability to communicate effectively with all levels of personnel within the firm is crucial, as well as the ability to adjust work schedule to accommodate occasional overtime. The physical demands of this role include sitting/standing at a desk for most of the job, frequent movement around the office, and visual requirements such as reading on a computer screen and printed materials.
