Job Summary:

The Legal Assistant Victim Witness 1 performs a variety of technical legal administrative functions to assist in the effective operations of the Grays Harbor County Prosecuting Attorney's Office, specifically for victim based crimes. This position provides legal support to assigned attorneys, as well as support to victims and witnesses of crimes prosecuted by the office. The Legal Assistant is responsible for preparing and filing legal documents, conducting legal research, and drafting and editing various legal documents. This position also screens calls for assigned attorneys and locates and assimilates information and documentation from multiple databases and software programs.

Essential Duties:

- Use the Prosecutor's specialized electronic case management database, Karpel.
- Locate records in various systems such as the Judicial Information System (JIS), Judicial Access Browser System (JABS), and Odyssey.
- Access and locate records in the Felony Offender Reporting System (FORS/OMNI) and the Department of Corrections database.
- Type dictated legal documents at a minimum of 40 words per minute accurately, including all formatting for charges, jurisdiction, and purpose of legal document.
- Prepare or draft various legal documents and correspondence, utilizing existing case management system or Word documents.
- Create, update, maintain, and retrieve physical case files.
- Review case files and court rules to ensure timely action or review by attorney.
- Organize, assemble, and maintain other attorneys' files and records.
- Contact victims, witnesses, law enforcement agencies, and attorneys to obtain or relay information, schedule appointments, and assist in completing documents.
- Receive and direct incoming calls and visitors, take messages, and answer general questions.
- Maintain contact with victims and witnesses to direct them to services offered in the community and assist in preparing restitution estimates.
- Assist with office operations such as opening and distributing mail, filing paperwork, and maintaining office files and case management system.
- Archive records according to established retention schedule.
- Perform other clerical duties as necessary to support the operations and administration of cases and department's functions.

Qualifications:

- High school diploma or GED.
- At least one year of experience as a legal secretary in a legal office or prosecuting attorney's office; or completion of a legal assistant program; or extensive, demonstrable experience in a related field.
- Valid Washington State driver's license and acceptable driving record.
- Must be bondable.

Knowledge, Skills & Abilities:

- Demonstrated knowledge of the criminal justice system, civil process, legal process, and legal terminology.
- Interpersonal and customer service skills to deal courteously with the public, county employees, and agencies.
- Proficiency in Microsoft Office programs.
- Attention to detail and accuracy.
- Ability to maintain confidentiality.
- Ability to analyze facts, compose initial drafts of documents and pleadings, interview witnesses, and prepare statements or declarations.
- Ability to work independently and in a timely manner.
- Typing speed of at least 40 words per minute.
- Organizational and prioritization skills.
- Ability to follow oral and written instructions.
- Effective communication skills.
- Ability to establish and maintain effective working relationships.
- Ability to work under pressure and with individuals who are under emotional stress.
- Discretion over sensitive or confidential issues.
- Ability to pass a criminal background check.

Working Conditions:

Work is primarily performed in an office environment with varying degrees of noise and temperament. Physical requirements include sitting, standing, walking, reaching, pushing, pulling, and using a sense of touch and finger dexterity. Occasionally, there may be a need to lift boxes and other materials up to 30 pounds.

Certificates:

Applicants must provide a typing certificate to substantiate their ability to accurately type 40 words per minute.
