Receptionist

Law Firm Billings, Montana is currently seeking a full-time Receptionist.

POSITION SUMMARY:
The Receptionist at Law Firm Billings, Montana works closely with attorneys and legal professionals providing general office support. The receptionist is often the first point of contact for visitors to the firm and is responsible for performing a variety of administrative and clerical support tasks to ensure efficient day-to-day operations.

KEY RESPONSIBILITIES:

Answering, screening, and routing incoming phone calls.
Greeting clients, visitors, and guests.
Determining the purpose of each person’s visit and directing or arranging escort to the appropriate location.
Providing accurate information or redirecting to the appropriate person in response to internal and external inquiries.
Scheduling conference rooms.
Assisting with maintaining the waiting area/lobby and other areas such as conference rooms.
Operating office equipment which may include but is not limited to a multi-line telephone system, video conferencing equipment, copier, scanner, fax machine, and printer.
Assisting with clerical tasks such as handling mail, postage, parking validation, setting up conference bridges, filing, copying, scanning, faxing, word processing, running errands, and restocking supplies depending on the office needs.
Providing administrative support to other departments as requested.
Maintaining admin lists, phone lists, and other details specific to the office.
Responsible for tracking and storing the AED machine for the office.

Working under tight deadlines, handling multiple detailed tasks, and anticipating when help will be needed from department members.
Being flexible and able to respond quickly and positively to shifting demands and opportunities.
Working effectively in a multi-office environment and a culturally and educationally diverse environment.
Writing clearly and informatively, editing work for spelling and grammar, adapting communication to suit needs, presenting numerical data effectively, and being able to read and interpret written information.
Speaking clearly and persuasively, listening and getting clarification as needed, responding well to questions, and taking a collaborative approach in group settings.
Taking responsibility for work activities and personal actions, following through on commitments, acknowledging and learning from mistakes, and recognizing the impact of one’s behavior on others.

MINIMUM QUALIFICATIONS:

High school diploma or equivalent.
Minimum of one year of experience in a professional environment.
Working knowledge of Microsoft Office Suite, Adobe, and other similar software.
Ability to read, comprehend, and follow written and verbal instructions.
Valid driver’s license.

PHYSICAL REQUIREMENTS:

Prolonged periods of sitting at a desk and working on a computer.
Ability to lift up to 25 pounds at times.
