Director of Advancement Systems
Indianapolis, IN Work type: Full Time Administrative Location: Systems Office - Indianapolis, IN Categories: Administrative/Professional General Description of Position: Reporting to the Executive Director of Advancement Services, this position is responsible for data and gift entry, providing research and reporting, and providing advancement system(s) training. The Director of Advancement Systems is responsible for monitoring routine system(s) operations, ensuring and implementing data quality, and execute new functionality. The Director of Advancement Systems serves as an analyst in problem-solving and utilizing baseline functionality needs raised by users. The position will interact with a diverse group of skilled users to assure successful and proper use of the advancement services system(s). Major Responsibilities: Process gifts daily following Ivy Tech Foundation procedures. Using a variety of matching gift portals and processes, be the primary point of contact for matching gift recording and ensuring the process is complete. Input prospect and donor biographic and demographic data for development office use. Provide data batches to finance as well as preparing deposit tickets, and keeping appropriate backup documentation and records for department use. Support and provide input to the development and implementation of policies, procedures, and internal controls. Input approved adjustments requested from Foundation or campus teams. Maintain in-depth knowledge of the functionality of the advancement system. Serve as a backup to advancement services processes and procedures that are not the positions primary role. Safeguard the confidentiality of constituent information at all times by adhering to ethical and confidentiality guidelines of the Foundation, College, CASE Standards, and the Association of Professional Researchers for Advancement (APRA) while managing data security and integrity. Assist in identifying and resolving any defects/problems with data. Monitor and review regular system reports to ensure integrity of the systems and data being reported on. Conduct end-user verification and testing to ensure data accuracy, consistency and correct data entry or changes that need made to the advancement system(s). Import data from other 3 rd party systems or files as needed. Serve on the data integrity team and provide solutions and/or forward-thinking enhancements to advancement system(s). Utilize templates, modify existing or create from scratch reports, to meet the needs of the organization. Provide campuses and Foundation team reports and dashboards to ensure development activities and results are focused on Foundation’s strategic goals. Assist with the reporting to national reporting organizations like CASE’s Voluntary Support of Education (VSE). Understand and implement gift acceptance and reporting requirements as determined by Foundation policy and CASE standards. Provide training and training materials on the functions of the advancement system(s). Serve as one of the contacts for campuses to address system utilization questions, data utilization needs, report generation etc. Seek opportunities for professional development to enhance job performance. Working knowledge of Salesforce CRM or equivalent system and its core companies, features, and functionalities. Must demonstrate a strong foundation in analytical and problem-solving skills. Must be able to work under deadlines and manage multiple projects simultaneously. Must demonstrate the ability to analyze and document processes and procedures. Must demonstrate a strong foundation in customer service mentality with excellent communication skills. Must be a collaborative team player. Must demonstrate a commitment to quality and attention to detail. Willingness to learn new functions and technologies required.
