Work type: Full Time Hourly Location: Bloomington, IN Categories: Administrative/Professional, Student Affairs/Student Services General Purpose: The Student Services Administrative Assistant provides administrative support to the student services leadership team and staff within student services. This position will be responsible for managing multiple calendars and coordinating meetings (on and off campus), assisting with event planning and execution, purchasing for student affairs departments, and assisting with administrative and clerical tasks. This position will primarily support the Vice Chancellor’s Office, the academic advising team, and other student affairs departments as logically determined. Major Responsibilities: Serve as the main point of contact for scheduling questions and meeting requests for the Vice Chancellor’s Office
Help with appointment management and booking for various student services offices by monitoring phone, email, and text communications from internal and external stakeholders (faculty, staff, and students) Assist with administrative functions for the general operations of the office, including assisting with travel requests and reimbursements, purchasing (for example, food, employee recognition swag, etc.), managing office supplies/requests Coordinate and execute logistics related to student services events (such as weekly meetings, monthly committee meetings, semester meetings, and retreats). This may entail reservation of spaces on/off campus, purchasing of food/materials, and updating calendar invites Provide clerical and student visit support for staff as needed for all student affairs offices Provide administrative support to a department or group of professionals, exercising confidentiality, tact, and diplomacy Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; Schedules and confirms appointments, meetings, and travel arrangements; assists with tracking expenses Participates in the development and implementation of administrative standards, policies, and practices May perform other duties logically associated with this role Minimum Qualifications: MINIMUM JOB REQUIREMENTS: High School Diploma or GED with related administrative experience Experience working with multiple projects, systems, and departments Ability to work independently, manage priorities and time Previous experience with calendar management, projects, and appointment systems software applications Proven organizational skills, attention to detail, and ability to multi-task Strong verbal, written, and interpersonal communication skills Demonstrated commitment to working on a team, strong work ethic, and excellent customer service KNOWLEDGE, SKILLS, ABILITIES: Excellent written and verbal communications; be able to identify or acknowledge departmental needs, research and report viable options, prepare documents, expedite processing, track and verify processes and follow up without direct supervision; ability to set priorities, manage time effectively, handle multiple responsibilities simultaneously, and demonstrate the ability to work with a diverse student population; strong customer service orientation; strong organizational skills and attention to detail. Handle difficult situations and work well under stress. Preferred Qualifications: Associate Degree preferred Work Hours: 8AM - 5PM or 9AM - 6PM Proposed Annual Salary: $34,000 Benefits: Eligible for benefits staring day one Excellent benefits, including voluntary benefits: medical, dental, vision, retirement, life insurance, spouse/child life insurance, fee remission, LTD, STD, Identity Guard, etc. Ten percent (10%) employer contribution to retirement plan immediately upon hire.
