Work type: Full Time Administrative Location: Indianapolis, IN Categories: Administrative/Professional General Description of Position: The Senior Director of Events serves as the main point of contact for internal and external clients who are utilizing Ivy Tech - Indianapolis' event facilities. He/she, with assistance from the Assistant Director of Events, will guide clients through the event planning process regarding Ivy Tech's offerings and capabilities and will coordinate with involved internal departments and external vendors. The Events Team will complete all necessary entries for reservations, space planning, set up, and audio-visual needs for events. Our ideal candidate is an experienced professional with at least 10 years of demonstrated experience in event management, managing small to large-scale events, including planning, execution, and reporting. This position requires strong project management skills, a proven track record of relationship building, excellent written and verbal communications skills, attention to detail, high energy, and a passion for Ivy Tech Indianapolis and its mission. Major Responsibilities: Customer Service: Demonstrate exceptional customer service through a positive attitude of approachability, adaptability, and proactive problem-solving. Go beyond the easiest or surface answer for a student, staff/faculty member, or an internal or external customer, and get to the root cause of the problem, question, or issue to solve it as quickly and professionally as possible. Engage in behaviors that create an inclusive environment in which all people are valued and supported. Project Management Develop, implement, and lead the overall event strategy for hosted events, including the conceptual and thematic framework for each event as well as post-event recaps and recommendations Schedule, coordinate, and assist with events hosted by internal and external clients Utilize approved systems to schedule events, submit work orders for room set up, and needed audio-visual support. Keep detailed event records Serve as an onsite point of contact during events to ensure meetings are delivered effectively and professionally. Coordinate with internal departments to schedule event-related activities Coordinate activities for high-profile events with internal and/or culinary program reservations for all activities that may be scheduled on campus. Manage the budgeting, forecasting, and invoicing for events Collaborate with the Marketing and Communications Team regarding the invitation process for events (when required), printed event programs, and other marketing collateral, etc. External Relations/Business Development Develop (internal and external) relationships and strategic community partnerships Promote Ivy Tech Indianapolis’ facilities to area special event organizations Provide tours of event rental space to potential clients and detail facility capabilities Senior Responsibilities Collaborate with leadership and front-line staff to identify, analyze, and recommend process improvements. Provide training, coaching, and project management support to team leaders/members to ensure that projects are successful Stay abreast of event trends, software/tools, and forecast untapped event opportunities The above list of duties is not to be construed as an exhaustive list. Minimum Qualifications: Bachelor's degree Minimum of 10 years of demonstrated experience in event management, managing large-scale events, including planning, execution, and reporting A strong people manager with a minimum of five years of management experience who is also a coach who loves to mentor and develop employees An excellent communicator with keen attention to detail, organizational skills, social skills, project management skills, and the ability to multi-task A proven track record of hitting deadlines, and managing multiple projects concurrently with superb organization skills, yet able to flex with dynamically changing priorities An expert negotiator skilled at negotiating contracts with vendors to achieve the greatest value A demonstrated ability to be poised and effective during high-pressure situations; ability to anticipate issues and have (or quickly develop) contingency plans Must have a strong sense of tact, confidentiality, and discretion, and the ability to take initiative to be proactive in obtaining expected outcomes Ability to collaborate in a highly matrixed organization Possesses strength working well with a wide range of cross-functional teams, including Facilities/Building Operations, Marketing and Communications, C-level leaders, and other key stakeholders Preferred Qualifications: Certified Meeting Professional (CMP) certification is preferred Higher education-professional experience is a plus Other Requirements: Work Hours: Hiring Range: Team Ivy Referral: Special Instructions to Applicants: Advertised: 05 Jan 2023 US Eastern Standard Time Applications close:
