Job Description
Records Specialist Duties: The candidate will fully adhere to Firm confidentiality standards including attorney-client correspondence and communications. Assist with departmental records-related projects, including destruction purges, file relocations, barcode scanning, scanning and saving images into electronic databases, and special file-related projects for attorneys, legal assistants, or other departments. Perform accurate data entry of file information into the Records Management Database, including status and location updates. Use portable barcode scanners to scan file barcodes in order to conduct bi-weekly or quarterly file location inventories and audits. Perform file-related research in Patricia, CPi, and Elite. Maintain and enforce the Firm’s retention policies, both physical and electronic. Perform complex filing. Interface with outside records storage vendor in order to conduct research, request reports, and place file transport orders (retrievals and pick-ups). Assist with Transfer-Out File, Transfer-In File or Internal Client to Client File transfers projects. Perform other duties as assigned. Follow established standards of a departmental timely and accurate turnaround for File Room functions. Display excellent written and verbal communication skills. Communicate with timekeepers and staff in a positive, productive manner in order to meet the needs of the Firm. Coordinate with internal departments to find solutions and resolve matters. Cross-trained in all areas of department responsibility to include to the File Room, general department procedures as necessary. Utilize and provide feedback for documented guidelines, processes, and procedures.
