Berg Hill Greenleaf Ruscitti LLP, a prestigious law firm in Boulder, Colorado, is seeking a detail-oriented Records Specialist to join our team. This full-time position offers a competitive salary and benefits package, as well as a flexible hybrid work schedule. As a Records Specialist, you will play a crucial role in maintaining our physical and digital filing systems and ensuring compliance with legal records management requirements and retention schedules. In addition, you will also handle client intake calls and provide administrative support across departments.
Essential Duties & Responsibilities:
- Process, organize, and maintain both physical and electronic legal documents and case files - Implement and maintain document retention and destruction policies - Scan and digitize documents while ensuring proper indexing and metadata - Track file locations and maintain chain of custody records - Process file requests from attorneys and staff - Assist with court filings and documentation - Ensure compliance with state and federal recordkeeping requirements - Maintain confidentiality of sensitive legal documents and client information
Client Intake & Administrative Support:
- Handle incoming client intake calls professionally and courteously - Gather preliminary client information and case details - Route potential clients to appropriate practice areas - Document and track new client inquiries - Provide backup support for other administrative functions as needed - Assist with general office duties during peak periods or staff absences - Support other departments with document management and filing needs
Qualifications:
- High school diploma or equivalent; Associate's degree preferred - 1-2 years of experience in records management, preferably in a legal setting - Proficiency in Microsoft Office Suite - Strong attention to detail and organizational skills - Excellent phone manner and professional communication skills - Knowledge of legal terminology and document types preferred - Understanding of confidentiality requirements and ethical standards - Ability to lift and move boxes up to 25 pounds - Excellent multitasking abilities and adaptability - Strong interpersonal skills and team-oriented mindset
Preferred Qualifications:
- Certification in Records Management - Knowledge of document retention laws and requirements - Experience with electronic case management systems - Familiarity with legal research databases - Previous experience in law firm administrative support - Experience with client intake procedures
Work Environment & Schedule:
- Full-time position: Monday through Friday, 8:30 AM - 5:00 PM - Based in our Boulder office with hybrid work arrangement - Professional office environment - Some physical activity required, including filing and retrieving documents - Extended periods at a computer workstation
