Salary: $35,000-$40,000 per year

Law Firm is seeking a highly organized and detail-oriented Office Assistant to join our team. In this role, you will be responsible for managing the front desk, answering calls, and directing clients and visitors to the appropriate department or individual within the firm. You will also assist with administrative projects, such as prebills, invoices, and scanning mail. We are looking for someone with excellent communication skills, strong organizational abilities, and the ability to handle multiple tasks simultaneously. If you have a high school diploma or general education degree and 3-5 years of experience in a professional office environment, we encourage you to apply.

Responsibilities:
• Serve as the main point of contact for clients and visitors, both in person and over the phone.
• Schedule and maintain conference room usage, including special equipment or refreshment requests.
• Act as a liaison with management for maintenance requests.
• Coordinate parking for new employees and validate parking for clients and visitors.
• Organize office events, such as holiday parties, birthday celebrations, and trainings.
• Perform clerical duties, including typing, copying, scanning, and maintaining electronic files.
• Process time entry and expense reports.
• Order flowers and meals for condolence and celebratory occasions.
• Receive, record, and distribute mail and packages, as well as process outgoing mail and packages.
• Operate and maintain office equipment, including copiers, printers, phones, and voicemail systems.
• Remain flexible and open to assisting with other tasks as needed.

Requirements:
• High school diploma or general education degree.
• 3-5 years of experience in a professional office environment.
• Excellent communication skills, both verbal and written.
• Strong organizational abilities and attention to detail.
• Ability to handle multiple tasks simultaneously.
• Proficient in typing at least 35 words per minute and using computer and multi-line telephone systems.
• Willingness to work more than 40 hours per week, if necessary.
• Ability to sit, bend, stoop, use a computer keyboard, and continuously use hands.
• Occasional lifting of 25-50 lbs. or more may be required.
• Ability to handle a high volume of telephone calls and mental strain.
