Gravis Law is seeking a detail-oriented and organized individual to join our team as an Office Administrator / File Clerk. This is a full-time position with room for advancement. As an entry level administrative role, it offers the opportunity to gain experience and skills in the legal services environment. The ideal candidate will have excellent communication and organizational skills, as well as the ability to work in a fast-paced, deadline-driven environment.
Essential Duties and Responsibilities:
- Staffing the front desk and maintaining cleanliness of common areas - Collecting new client-related documents and ensuring they are properly filed within physical and digital client files - Preparing client files for meetings with attorneys - Traveling to court to file documents and serve documents on opposing counsel - Maintaining and updating all office files - Processing incoming documents to digital and physical files - Opening new case files as necessary - Maintaining the file room and ensuring files are in proper order - Preparing necessary files for attorneys to use during court appearances and other matters - Taking payments and making bank deposits - Scanning, filing, and routing documents and correspondence - Punctual attendance to meet deadlines - Other clerical duties as assigned
Requirements:
- 0-3 years of experience as an administrative assistant or in a secretarial role - High school diploma or equivalent - Excellent planning, prioritization, and organizational skills - Ability to work well in a team and cross-office setting - Strong problem-solving skills and ability to handle confidential information - Excellent communication skills, both verbal and written - Ability to thrive in a fast-paced, deadline-driven environment - Positive and professional demeanor - Must have a valid driver's license and reliable transportation - Must have a positive attitude and desire to be part of a growing legal practice

Work Environment/Conditions/Physical Demands:
This job will be performed in a standard office environment. Employees must have the ability to maintain regular, punctual attendance and may be required to work weekends, holidays, be on call, and travel overnight on occasion.
