SummaryThe GMAF Operations Manager is an essential position focused on the budget oversight and contract creation for projects across US therapeutic programs to ensure highest value deliverables and internal stakeholder satisfaction.\u00A0 This position is principally in support of the US Medical Affairs department.\u00A0 \u00A0The Operations Manager will facilitate and/or execute a diverse range of projects in partnership with GMAF Medical staff, leveraging of external vendors, and effective use of systems and platforms.\u00A0 The Operations Manager will serve as cost center manager and apply all necessary controls regarding contracting, procurement, budgeting, and spending.\u00A0 The successful manager incorporates value, quality, and performance measures into assigned work and also makes continuous improvement integral to the role.\u00A0Responsibilities Financial Planning and Management: Maintain departmental financial information, templates and processes for US Medical team, under Global Medical Affairs group and in collaboration with corporate Finance group Act as a resource for US Medical adherence to contracting, PO set up and timely monthly accruals Manage vendor and KOL invoicing, including communicating submission process, approval and attestation oversight Generate and distribute periodic reports and metrics, as requested Manage, maintain, and track cost center budget and forecasts in partnership with Senior Manager of Operations, US Medical\u00A0Contract Management Serve as the Subject Matter Expert for US Medical contract administration process from initial request for an agreement to execution and maintenance of agreements including: RFP process, bid evaluation/due diligence, contract / scope of work development, legal review, approval review and follow-up, contract status tracking; cross-functional communications and pro-active follow up; issue troubleshooting Facilitate the conduct of vendor proposal review meetings Deliver training to US Medical personnel on contract management processes and policies, as needed Provide purchasing and accounting support and guidance to US Medical colleagues regarding contracting, purchase order and invoicing processes; liaise with accounting functions as required to troubleshoot and resolve issues Generate and distribute monthly/periodic reports and metrics related to Global Medical Affairs programs including contract activity and related status\u00A0Meetings, Advisory Boards and Congresses: Oversee and manage the needs and requirements gathering for advisory boards, congresses and other events. Create and ensure achievement of project plans and budget for all events. Ensure coordination, submission and documentation of meeting materials and resources for compliance approval through MMRC system. Other special projects in support of the Region operations as assignedCross-Functional Projects Salesforce administration to include data entry of US Medical meetings/events and ongoing data maintenance of Accounts/Contacts Create and maintain intranet pages for US Medical, including MS Teams and SharePoint sites\u00A0Education & Experience BA or higher in business/finance operations or similar degree. Certificates or other education in regulatory compliance or contact management preferred 3 years of relevant experience in business operations, finance and contract management, and project management PLEASE NOTE: Absent a Medical or Religious reason that prohibits vaccinations, all our incoming employees must be vaccinated for COVID-19.
