Position Summary: - Provides high-level secretarial and administrative support to four or more attorneys - Assists attorneys in preparing litigation cases from onset through post trial - Organizes and maintains case files and deposition materials - Assists with trial and mediation preparations - Prepares and edits legal forms, correspondence, and documents - Flexible to work overtime as needed
Duties & Responsibilities: - Handles scheduling and travel arrangements for attorneys - Organizes and coordinates flow of information, including sorting and annotating incoming mail - Types and composes general correspondence, memos, legal documents, and reports - Prepares draft documents and motion binders - Coordinates multi-document filings in Federal, Circuit, and State courts - Establishes and maintains filing and records in both hard copy and electronic formats - Enters lawyers’ time and prepares client billing - Researches and abstracts information in preparation for meetings and reports - Takes action as authorized by lawyers, Business Director, or HR Manager - Notifies appropriate parties of assigned lawyers’ status and availability for overflow work - Oversees organization and maintenance of case-related materials
Skills & Competencies: - Understanding of litigation laws and Federal Rules of Civil Procedure - Comprehension of a variety of legal court documents - Strong attention to detail, organizational skills, and time management - Excellent interpersonal and communication skills - Ability to work under pressure and meet strict deadlines
Qualifications & Prior Experience: - 5 years of experience as a legal secretary in a business law practice - Bachelor’s degree or equivalent experience preferred - Computer proficiency in Microsoft Office Suite, document management, and e-filing
