Salary Range: - $80,000.00-$90,000.00
Basic Function: - This non-exempt position performs secretarial and administrative duties for attorneys under minimal supervision. - Requires a high degree of independent judgment and discretion. - Must have a thorough knowledge of organizational procedures and precedents.
Essential Duties: - Process new client/matter requests, client bills, time reports, and expense reports. - Perform word processing of drafts for client-related matters. - Copy, distribute, send, file, and handle completed work. - Maintain physical and electronic files and contacts. - Coordinate meetings and appointments and maintain attorneys' appointment calendars. - Transcribe and compose correspondence for client-related matters. - Handle incoming and outgoing mail.
Other Duties: - Provide secretarial assistance to summer associates, visiting attorneys, and attorneys whose secretaries are absent. - Occasionally coordinate a courier service for attorneys. - Perform other related duties as needed or assigned.
Reporting Relationship: - Reports to the Office Administrator or appropriate Human Resources representative and indirectly to assigned attorneys.
Qualifications: Knowledge/Experience: - Minimum of 5 years of experience in a mid- or large-sized law firm. - Experience in finance preferred. - Strong familiarity with legal terminology and working knowledge of the Firm's technology and applications. - Prior experience handling expense reports, client bills, multi-line phones, and conflict-checking forms preferred.
Skills: - Advanced word processing/computer skills using various software programs. - Excellent written and verbal communication skills. - Strong phone etiquette, attention to detail, and follow-through skills. - Knowledgeable in legal filing and record-keeping practices. - Highly organized and able to successfully multi-task and meet deadlines. - Strong customer service skills and ability to work effectively as part of a team.
Education: - High school diploma required. - Two years of college or equivalent preferred.
Physical Demands: - Must be able to move around the office up to 15% of the time. - Remains stationary at least 85% of the time. - Operates computers and other office productivity machines on a regular basis. - Occasionally required to move documents or files weighing up to 15 lbs. - Must be able to communicate and exchange information with attorneys, clients, and staff. - Must be able to inspect and observe information on a computer screen at least 80% of the time.
