Job Title: Legal Assistant/Paralegal for Family Law & Litigation Department Department: Family Law & Litigation Reports To: Assigned Attorneys and Firm Administrator Date: March 2025
Primary Purpose of Position: Support assigned attorneys by performing a variety of administrative duties and maintaining positive client contact while maintaining confidentiality.
Essential Functions and Responsibilities: - Prepare legal documents, correspondence, and memoranda. - Review documents for completeness and errors. - Transcribe digital dictation and handwritten documents. - Handle photocopying, filing, emailing, and faxing of documents. - Process legal documents with courts and other agencies. - Organize documents for e-discovery requests. - Answer and screen telephone calls and take messages. - Sort and distribute incoming mail. - Assist clients by answering questions and providing non-legal information. - Maintain electronic and hardcopy files. - Manage outgoing deliveries. - Enter attorneys' time and process bills. - Conduct conflict checks and open new matters. - Close files according to firm policies. - Manage attorney calendars and schedule meetings. - Coordinate with other legal assistants, paralegals, and support staff. - May perform notary duties. - Other clerical duties as needed.
Competencies: - Technical proficiency in Microsoft Outlook, Word, and Excel. - Familiarity with legal procedures, e-discovery, and high-volume document handling. - Ability to work with complex documents and produce properly formatted documents. - Strong organizational and multitasking skills. - Typing speed of 70 wpm or higher. - Ability to prioritize and work in a fast-paced, deadline-driven environment. - Excellent interpersonal and communication skills. - Knowledge of legal principles and practices. - Attention to detail and ability to proofread documents. - Familiarity with standard office equipment. - Good attendance record.
Required Education and Experience: - High school diploma. - Minimum of 5 years of legal administrative experience in a law firm.
Physical Demands: - Mostly sedentary role with occasional lifting and bending for photocopying and filing.
Position Type and Expected Hours of Work: - Full-time, Monday through Friday, 9:00 a.m. to 5:00 p.m. - Occasional work beyond regular hours may be required.
Working Conditions: - Professional office setting. - Use of standard office equipment.
