Overview: The City of South Bend is seeking a highly motivated and organized Legal Assistant II/Administrative Assistant II to join our Department of Law. This position offers a competitive salary range of $46,000 - $48,000 annually and the opportunity to work in a dynamic and diverse team environment. The ideal candidate will have a strong legal background and/or experience in a legal setting, as well as excellent customer service and problem-solving skills.
Responsibilities: • Answer and direct phone calls and greet clients and the public in a professional manner • Manage records related to collection efforts and handle cash payments and deposits • Draft legal documents and correspondence • Maintain extensive files and records of legal documents and court cases • Research case law and applicable laws to assist attorneys • Assist with meeting coordination and preparation of reports • Maintain attorney calendars and schedules • Process incoming and outgoing mail • Offer suggestions for process improvements and assist with implementation • Other administrative tasks as needed
Qualifications: • At least three years' related work experience, with a higher education degree or certificate preferred • High school diploma or equivalent required • Strong computer skills, particularly with Microsoft Office • Knowledge of legal profession and case management software • Excellent attention to detail, multi-tasking and organizational abilities • Strong communication skills, both written and verbal
Certificates/Licenses: • Indiana Notary Certification encouraged • Valid Indiana Driver's License required if driving City vehicle
Physical Demands: • Ability to sit and walk for extended periods of time • Ability to lift up to 25 pounds
Work Environment: • Office setting with moderate inside temperatures • Smoke-free environment
