Booth Udall Fuller, PLC is seeking a Front Office Administrator to join our team in Tempe, AZ. We are a boutique law firm that specializes in handling patents, trademarks, copyrights, trade secrets, and licensing for clients in a variety of industries. Our team is made up of creative, forward-thinking individuals who are passionate about providing high-quality legal representation to our clients. As a Front Office Administrator, you will play a crucial role in supporting our team and ensuring the smooth operation of our office.
Responsibilities:
- Answer and manage all incoming phone calls in a professional and courteous manner. - Schedule appointments and coordinate in-person client visits. - Assist with client intake forms and maintain confidentiality when handling sensitive information. - Monitor and schedule maintenance and repairs for office equipment. - Order and replenish office and break room supplies as needed. - Keep office areas clean and organized, including conference rooms, reception, and kitchen. - Track and send reminders for deadlines, events, and other important dates. - Coordinate and organize firm events, including birthdays, training, and end-of-year celebrations. - Handle foreign invoice tracking, currency conversion, and monitoring of statement of accounts. - Assist with marketing, finance, and legal support teams as needed. - Manage attorney workflow and track budget quotes. - Enter time and expense for various projects. - Create and maintain client contact files in our system. - Process incoming mail and docket accordingly. - Send domestic and foreign mail via FedEx, USPS, or certified mail. - Assist with onboarding of new staff and attorneys. - Schedule employee annual reviews. - Coordinate with firm vendors. - Maintain and update procedure guides. - Assist with other patent and trademark prosecution projects as assigned.
Desired Qualities:
- Ability to take initiative and seek out tasks without direction. - Strong attention to detail and excellent time management skills. - Excellent phone and customer service skills. - Proficiency in Windows, Adobe Acrobat, SharePoint, and Microsoft Office applications. - Strong communication skills, both written and verbal. - Ability to type at least 65 words per minute. - Strong basic math skills, specifically addition and percentages. - Willingness to assist others and prioritize tasks and deadlines.
Requirements:
- Must work in our Tempe, Arizona office. - Must have a positive, professional, and team-oriented attitude. - Must adhere to the highest ethical standards. - Must have excellent communication skills, both written and verbal. - Must be proficient in Windows and Microsoft Office Suite applications, as well as Adobe Acrobat. - Must be organized, detail-oriented, and able to prioritize tasks and responsibilities to meet deadlines. - Must be able to work independently and under pressure in a fast-paced environment. - Must be open to constructive feedback. - Must have excellent time management skills.
