Job Description
EXECUTIVE ASSISTANT

Are you a vibrant, self-motivated person who wants to make real change in the world?

If so, we have a position that might just be right for you as Executive Assistant to both our CEO and our President.

Our CEO is based in DC, and the President is based in Southern California. You will need to meet with both of them from time to time, but we are a virtual company – you will work from home with occasional travel to attend internal and external (client) meetings.

Your primary duties will include:

Managing the CEO and President’s workflow, drafting and responding to email and other correspondence, and liaising between the CEO and the President and other members of the team.
Managing the CEO and President’s calendar and travel schedule, including preparing detailed itineraries for travel to domestic and international meetings.
Updating budget and other spreadsheets with information from multiple sources.
Attending internal meetings by phone and video chat (i.e., Google Hangout), making notes and acting on commitments made by the CEO and President during those meetings.
Creating effective presentations for client and staff meetings.
Coordinating logistics and preparing materials for internal and external meetings.
Reviewing, editing, and finalizing documents generated by the CEO and the President.
Tracking invoices and following up with clients on late payments.

We need you to be:

Business-savvy. You will probably have five or more years of experience supporting C-level executives in a busy, rapidly-changing environment.
Project-focused. You love to manage complex projects involving multiple people.
Flexible. You think and act fast, don’t quibble about minor stuff, and aren’t thrown by change.
Apple Guru. We use Apple Keynote, Pages and Numbers all day long and you need to be adept in all of them.
Knowledge of, and experience in QBO (Quickbooks Online) would be a positive.
Deadline-driven. We do a lot of work against tight deadlines.
Creative and enjoy working within a small, entrepreneurial environment that is results-driven.
Independent. You will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities.
Problem solver. You are proactive and have strong decision-making skills.
Forward looking thinker. You actively seek opportunities and propose solutions.

We need you to have:

Good judgment in a variety of situations.
A clean driving and personal conduct record.
Outstanding communications skills, both written and oral.
The ability to maintain balance among multiple priorities.
Flexibility for travel when needed and occasional weekend and evening availability.
Pride in appearance – both for yourself and your work.

Reporting:

This position reports to the CEO and President, with whom you will have both a regularly scheduled series of weekly and monthly meetings and regular day-to-day contact.

Geographical location:
