The Executive Assistant and Travel Coordinator role at Chaffin Luhana is a crucial position that supports the firm's named partners and optimizes their time and productivity. You will also handle travel coordination for the entire firm, making seamless logistics and adhering to executive preferences a top priority. Responsibilities:
- Act as a personal assistant to the firm's Managing Partner and Mass Tort Practice Manager, managing their schedules and ensuring they stay on track with their daily tasks. - Set up meetings for the management team, primarily through Zoom. - Learn the communication styles and preferences of the partners to anticipate their needs. - Book travel and lodging arrangements for the firm and other team members. - Register partners for events and coordinate their attendance. - Track and allocate expenses for equity partners and ensure timely compliance with CLE and bar admission requirements. - Prepare, edit, and reply to correspondence, presentations, and other documents. - Exercise discretion and maintain confidentiality of sensitive information.
Qualifications:
- 3-4 years of experience as an Executive Assistant or Personal Assistant. - Must be located in Eastern Standard Time zone. - Self-starter with a strong drive and ability to multitask with minimal supervision. - Valid driver's license and reliable transportation. - Excellent knowledge of MS Office, including Word, Excel, and PowerPoint. - Keen sense of urgency and strong time management skills. - Project management experience is a plus. - High attention to detail and administrative skills. - Ability to work well under pressure and meet tight deadlines. - Solution-focused attitude and a commitment to making the partners' lives run smoothly. - Growth-focused, resilient, and compassionate.
