Work type: Full Time Administrative Location: Valparaiso, IN Categories: Administrative/Professional General Description of Position: The scheduler will oversee the entire academic schedule development process by working closely with academic deans and chairs, with the assistance of school secretaries and/or data entry personnel. Once courses are loaded into banner, the scheduler will work to address all room conflicts, day and time conflicts and other issues as they arise. The manager will ensure that every course on the schedule has an instructor and then monitor the schedule during the registration period for course additions, cancellations, staffing changes, and basic enrollment trending. The manager will ensure that all course scheduling guidelines are followed. The manager will also work closely with institutional research to disseminate enrollment reports to appropriate functional areas in a timely manner. Major Responsibilities: • Coordinates the room-scheduling function. Schedules all rooms for academic and special function use. • Assists school secretaries or those assigned the responsibility of data entry for the purpose of schedule production. • Notifies appropriate staff (Instructional Technology, Facilities, etc.) of required services for classrooms or events. • Completes state, regional and campus room utilization reports as required in an accurate and timely manner. • Maintains accurate room scheduling records. Maintains the room assignment information on the Banner system and the X25 room scheduling system. • Serves as primary point of contact with deans, chairs, campus secretaries, facilities personnel, etc. for resolution of room-scheduling conflicts. • Prepares reports and various types of correspondence as related to regional facilities utilization and campus events. • Advises all campuses on issues related to scheduling, facilities usage, solicitation, insurance reporting, events reservation and facilities rental procedures/guidelines. Recommends changes to procedures as required. • Performs other duties as assigned consistent with commonly accepted practices. Minimum Qualifications: Associate degree or industry related certification with three (3) years related work experience required. Bachelor degree with two (2) years related work experience preferred. • Experience in an academic setting preferred. • The ability to work independently with little or no supervision and make decisions. • Excellent communication and written skills required. • Excellent computer skills (including Word, Excel, Access, and PowerPoint) required. • The ability to work as a team member and under stress; ability to process information quickly and handle difficult situations with patience and diplomacy. • Must be able to work on own initiative and handle multiple tasks simultaneously. • Excellent analytical skills and ability to think independently and make appropriate judgments without supervision.
