Reputed Firm Seeks Experienced Administrative Assistant in Fairfax, VA
Overview:
- Reputed firm, George Mason University, is seeking an experienced Administrative Assistant to join their team in Fairfax, VA. - This full-time position offers a competitive salary in the high 50’s, commensurate with education and experience. - The Administrative Assistant will provide support to the Office of University Counsel, ensuring the smooth operation of the office and handling a variety of administrative and clerical tasks.
Responsibilities:
Administrative:
- Maintain organization of the office and prioritize workload as necessary. - Receive, screen, and redirect incoming telephone calls, prioritizing with regard to sensitivity and maintaining confidentiality. - Coordinate meetings and appointments for University Counsel and staff attorneys. - Manage calendars and prepare necessary documentation and materials for meetings. - Coordinate travel arrangements and process reimbursements. - Purchase supplies for the department and reconcile budgets. - Serve as the department liaison with internal and external offices. - Assist in hiring and managing work-study students.
Outside Counsel and Legal Matters:
- Assist University Counsel and attorneys in all legal matters. - Coordinate and process outside counsel billing. - Communicate with outside counsels for legal and financial matters. - Serve as a liaison to the Office of the Attorney General.
Delegation of Signature Authority (DSA):
- Oversee the Delegation of Signature authority process in accordance with University Policy 1147. - Draft and prepare DSA letters for authorized officers and signatories. - Maintain database of DSA recipients.
Document Control:
- Manage department filing system. - Maintain filing database and electronic logs. - Supervise file management and archives. - Recommend and oversee proper formatting standards for correspondence and documents.
Backup Personnel:
- Serve as backup for legal assistant on subpoena requests and processing garnishments. - Draft and prepare legal documents and correspondence. - Oversee processing of legal documents to local courts or the Office of the Attorney General.
Qualifications:
- High school diploma or equivalent. - 2 years of related administrative assistant experience. - Thorough knowledge of standard office practices and software. - Some understanding of legal processes and procedures. - Excellent written and verbal communication skills. - Ability to work independently and manage multiple tasks efficiently. - Ability to exercise good judgment and provide constructive feedback. - Ability to follow instructions and seek help when needed.
Preferred Qualifications:
- Bachelor’s degree. - Familiarity with University or legal setting.
