The Law Firm is seeking a highly organized and efficient Administrative Assistant to provide general administrative and clerical support to the firm's administrative directors. This position requires a high level of confidentiality, integrity, and professionalism in handling sensitive information. The ideal candidate must have excellent communication skills and be able to work well in a team environment.
Responsibilities:
- Provide support to the CAO, Director of Finance and Accounting, Director of Marketing, and Director of Human Resources - Assist with meeting minutes, special events coordination, and office assignments - Schedule and coordinate attorney and shareholder meetings - Distribute shareholder reports and assist with finance committee meetings - Assist with month-end closing and billing preparation - Prepare monthly accounts receivable and work in process reports - Assist with month-end reconciliations and other accounting tasks as assigned - Support non-profit donations and conference RSVPs - Maintain the firm's CRM software system - Provide secretarial support to the Director of Human Resources - Assist with new hire paperwork and orientation - Compile staff and associate evaluations - Assist with planning and coordinating special events for non-attorney staff - Facilitate and schedule events, including summer associate and attorney meetings - Support various committees within the firm, including Wellness, Diversity & Inclusion, and Recruiting - Act as third backup on reception phones
Qualifications:
- Minimum of 2 years executive administrative experience - High level of integrity and ability to maintain confidentiality - Excellent communication skills and ability to work well with others - Proficient in Microsoft Word and Excel, quick learner in other software programs - Ability to present information and respond to questions in a professional manner - Independent worker with strong time management skills
Physical Demands:
- Standing and/or sitting for extended periods of time - Maximum lifting requirements up to 25 pounds - Repetitive hand movement - Accurate and close vision for reading documents on paper and computer screens - Distance vision and depth perception - Valid driver's license
