Job Title - Builder Pre-Closer
Experience - Previous experience as a paralegal, preferably with a focus on real estate transactions, is helpful but not required. Familiarity with pre-closing processes is advantageous.
Key Responsibilities & Objectives:
• Serves as the primary point of contact for all involved parties, including agents and clients, in the preparatory phase of real estate closings, ensuring a seamless and organized process. • Manages builder inbox and assigned team tasks in Qualia team queue. • Identifies and escalates any issues that may arise during the pre-closing process. • Assists in the due diligence process by ordering and/or reviewing HOA’s, mortgage payoffs, surveys, inspections, and other relevant documentation. • Communicates with clients, real estate agents, lenders, and other stakeholders to gather necessary information and documentation. • Collaborates with the closing team to coordinate pre-closing activities and verify the completeness and accuracy of the closing file. • Interacts with clients to address questions, provide updates, and gather required information. • Assists in the processing/ordering of title insurance binders & policies and coordinates with title insurance companies for timely issuance. • Maintains organized and up-to-date files for each real estate transaction. • Collaborates with real estate attorneys to address legal issues and ensure compliance with legal requirements. • Efficiently manages time and prioritizes tasks to meet deadlines. • Identifies and addresses any challenges or issues that may arise during the pre-closing phase. • Maintains positive client relationships and provides excellent customer service. • Works collaboratively with attorneys, other paralegals, and support staff to contribute to a positive and collaborative work environment. • Assists in due diligence processes and prepares and reviews legal documents. • Manages all aspects of file management, including organizing and filing documents and correspondence. • Demonstrates adaptability to changing tasks, priorities, and deadlines.
Qualifications/Core Competencies:
• High school education and/or additional coursework or training in real estate law is beneficial. • Previous experience as a paralegal, preferably with a focus on real estate transactions, is helpful but not required. • Strong understanding of real estate law and knowledge of relevant laws, regulations, and industry standards. • Proficiency in using legal software, document management systems, and office productivity tools. • Excellent written and verbal communication skills. • Strong organizational and time management skills. • Critical thinking and problem-solving abilities. • Client-focused approach and ability to maintain positive client relationships. • Collaborative mindset and ability to work effectively with a team. • Ability to gather relevant information for due diligence. • Skill in preparing and reviewing legal documents. • Flexibility and adaptability to changing tasks and priorities.
Success Factors:
• All new contracts are opened and earnest money deposits are collected. • Buyer and seller information sheets are collected and entered into SoftPro. • All closings are calendared according to firm policy. • All payoffs and HOAs are ordered prior to closing. • All title binders are ordered, reviewed, and premiums are collected. • All title work is sent to lenders by the deadline. • Any necessary title curative assistance is executed and followed up in a timely manner.
